Early Words Intake Administrative Assistant

Reports To:  Manager of the Early Words Preschool Speech and Language System and the Director of Child and Family Services

Organization:  Affiliated Services for Children and Youth (ASCY) is responsible for the implementation of the Early Words/1ers mots, Preschool Speech and Language (PSL). The Intake Administrative Assistant is an integral member of the Early Words team operating under the guidelines of the Early Words system and is directly accountable to the Manager of the Early Words Preschool Speech and Language System and the Director of Child and Youth Services of ASCY, in conjunction with the Executive Director of ASCY.

Purpose:  Early Words/1ers mots (EW), administered by Affiliated Services for Children and Youth (ASCY), is responsible for the implementation of the Preschool Speech and Language (PSL), Central South Infant Hearing Program (IHP) and Blind-Low Vision Early Intervention Programs (BLVEIP). The Early Words Team provides a family-centered information and referral service for preschool children with speech and language needs. The Early Words Intake Administrator is responsible for registering children/families into the data base, arranging for redirection to a partner agency, and scheduling initial assessment visits for clinical staff.

What we offer:

  • Permanent 0.8 FTE position
  • Tuesday – Friday initially, 8:00 – 4:00 with flexibility to occasionally work outside of regular hours
  • Salary: $21.85-26.25 hr
  • 4 weeks vacation per year to start after completion of 3-month probationary period
  • 3 days paid time off during December holiday season
  • Paid sick time available after successful completion of 3-month probationary period

Primary Functions and Responsibilities:

The responsibilities of the Early Words Intake Administrative Assistant are as follows:

  • Conduct base interviews with parents and referring professionals on the telephone and arrange subsequent clinical phone/face-to-face interviews with a Speech-Language Pathologists
    • Regularly monitor and respond to referrals entering the system via telephone and online portal
  • Manage the central databases (Access and ISCIS/PSL) recording all information captured during the base intake phone interview and subsequent interventions from Early Words Speech-Language Pathologists (SLPs) including clinical and statistical reports
  • Book audiology appointments as part of the intake process and liaise with the Audiology Department staff at two Hamilton hospital sites to coordinate appointments
  • Provide support to Infant Hearing Program Community Screening appointments including bookings and rescheduling at various sites
  • Liaise with representatives for Hamilton Health Sciences to coordinate appropriate services between agencies
  • Provide follow-up written/electronic correspondence (i.e.: mail outs, emails, confirmation letters and consents) to families and/or community partners following base intake and subsequent clinical phone/face-to-face interviews conducted by a Speech-Language Pathologists
  • Schedule Parent Training workshops as requested
  • Facilitate regional transfers to/from Early Words
  • Cancel appointments for clinicians as required
  • Assist with the maintenance and development of the electronic system
  • Respond to requests for information regarding community preschool services, speech and language services and communication development with the support of the Early Words Team
  • Assist in the ongoing establishment and operation of the Early Words System/Early Words Preschool Speech and Language Service including documentation reports. This includes the responsibility of maintaining confidentiality of child and family information

Other responsibilities as assigned by the Early Words Manager

Qualifications:

Relevant training in administrative support applications:

  • Proficiency in the use of a variety of computer programs (e.g., Microsoft Teams, Word, Outlook, Excel, Penelope, etc.)
  • Proven ability to multi-task
  • Excellent organizational skills
  • Excellent oral and written communication skills
  • Demonstrated skill in working independently and as a member of a team
  • Knowledge and understanding of early years’ services is an asset

Resource Librarian & Program Support

Affiliated Services for Children and Youth (ASCY) – Haldimand Norfolk

Position: Part-Time – 18 hours per week
Location:  In-person, Hagersville Office
Pay: $22.98 per hour

Affiliated Services for Children and Youth (ASCY) is seeking an enthusiastic, motivated, resourceful Early Childhood Educator to serve the Haldimand-Norfolk Region.

The successful candidate will be responsible for handling the ongoing operation of the Professional Resource Library including the cataloguing of resources, development of educational interest kits, orienting and assisting members, workshop registration, etc. The individual must have a strong knowledge of “How Does Learning Happen?” – Ontario’s pedagogy for the early years and companion documents to support members in the delivery of quality early learning and child care programs.

The position will require the ability to work flexible hours, including evenings.

Applicants must have/or be:

  • Registered as an Early Childhood Educator with the College of ECE and remain in good standing.
  • A minimum of 5 years experience working in early learning settings.
  • Experience working in a variety of early learning settings and age groups an asset.
  • Experience in adult education and mentoring.
  • Awareness and sensitivity to the cultural needs of the community.
  • Knowledge of and involvement in the early learning community in Haldimand-Norfolk.
  • Knowledge of current issues in early learning and child care (i.e.: locally, provincially, nationally)
  • Excellent oral, written communication and interpersonal skills.
  • Strong technology skills (i.e.: Microsoft Word, Excel, Power Point Presentations, database programs, etc.)
  • Knowledge of the Ontario Pedagogy for the Early Years as outlined in the Ministry of Education documents and local community initiatives.
  • Active participant in the ECE and early years’ community.
  • French language and experience working with diverse cultures an asset.

Affiliated Services for Children and Youth (ASCY) is seeking an enthusiastic, motivated, resourceful Registered Early Childhood Educator to work alongside and mentor the Hamilton community and to join our energetic, dynamic, forward thinking team.

The successful candidate must have applied knowledge of “How Does Learning Happen? Ontario’s Pedagogy for the Early Years”, and experience in guiding and supporting others through reflection, co-learning and/or pedagogical leadership.  ASCY’s Professional Learning Consultants work in relationship, as a resource for those programs coherent with local and provincial priorities for quality early learning and child care programs, where children, families and educators experience equity, diversity, inclusion and belonging. As well, the successful candidate will join ASCY’s Professional Learning Team in responding to current needs and trends in early learning and child care by planning and facilitating events, outreach and consultation, Professional Learning Communities, study groups, on-site mentoring and co-learning with educators and supervisors on site in licensed child care programs that have a service agreement with the City of Hamilton.

The position will require the ability to work flexible hours including some evenings and limited Saturdays and in a range of community locations.

  • Strong understanding of supporting educators on reflecting on the environment
  • Experience in nurturing early childhood educator’s curiosity, openness and purposefulness through mentorship
  • Experience working in a variety of inclusive early learning settings and age groups an asset
  • Experience in guiding Early Childhood Educators on the benefit of social emotional development and self-regulation
  • Strong applied knowledge of emergent curriculum, Ontario’s pedagogy, “How Does Learning Happen?” and companion documents
  • Experience with adult education and making presentations
  • Knowledge of and involvement in the early learning community in Hamilton
  • Knowledge of current issues in early learning and child care (i.e.: locally, provincially and nationally)
  • Excellent oral and written communication skills
  • Strong organizational skills to support administrative tasks including data collection, compilation and analysis
  • Ability to reason and problem solve independently and make decisions
  • Knowledge and understanding of current documents that inform the practice of Registered Early Childhood Educators

Volunteer Board Member

ASCY – Affiliated Services for Children and Youth serving the Hamilton, Niagara, Brant, and Haldimand-Norfolk communities.

ORGANIZATION DESCRIPTION:

ASCY provides multiple services including capacity building via professional learning, mentorship and resources to Early Childhood Educators in the city of Hamilton and Haldimand-Norfolk. ASCY is the lead organization for the Preschool Speech and Language Services in Hamilton. ASCY is the lead agency of the Central South Infant Hearing Program and Central South Blind Low Vision Early Intervention Program (serving children and their families in Hamilton, Niagara, Brant and Haldimand -Norfolk).

POSITION DESCRIPTION:

The ASCY Board operates under a results-based, policy board model. This model is a collaborative partnership between the Board and the Executive Director, with a focus on vision, strategic planning and agency governance. Board members are not involved in the management of operations. The Board meets monthly on the third Monday of each month (except July and August) at 5:00 -6:30 pm. In addition to the monthly Board meetings, there is the opportunity for making contributions by involvement in task-focused committees. The Annual General Meeting is held in June.
